The Problem

Haynes Builders was enjoying burgeoning demand for its bespoke residential building services and its team had grown to 30+ employees, but like many small businesses it was finding its hitherto ad hoc systems and structures were inadequate to deliver the service efficiently and effectively. They wanted to formalise systems in order to manage and help drive that growth. They had identified that they needed to put a CRM system in place but they wanted one that would help them to manage their quoting.

They were building a database from scratch to help them manage the basics of storing and retrieving contact details – previously staff had to look up and type the customer address on the quote. Their quotes were being managed on an Excel spreadsheet and the process of preparing a quote was extremely time consuming, considering that each new job they undertake requires a bespoke proposal and pricing. But they also wanted to pace themselves in terms of investment and the introduction of new systems, so that they could take a step-by-step, manageable approach to development.

 

 

The Solution

Following the purchase and installation of Act!, Donald Page of Seamless CRM reviewed the needs of the business and recommended its entry-level, off-the-shelf quote management add-on, Seamless Opportunities Lite, which the company were able to quickly download and install themselves.

 



The Outcome

  • Average quote preparation time has been reduced by more than 80%, from more than 30 minutes to around 5 minutes.
  • Quote templates are now customised in Microsoft Word and include standardised information like Terms and Conditions, delivering consistency and accuracy
  • Standard items required on site, like loos and skips, can easily be added by Site Managers using Act! remotely
  • Free typing within the merged document allows bespoke quotations to be prepared
  • All estimates are now saved to a specific Dropbox location and linked to the documents tab, opportunity and contact, for easy retrieval
  • Quotes are referenced using an automatically generated quote number, which the customer can append to track quotation revisions
  • Mail merge allows the company to set up custom opportunity fields e.g. site address and deliverables for the project, which can be mail merged to document templates  such as site instructions, not just quotes.
